Position Overview:

We are seeking an experienced Administrative Assistant to facilitate office operations and financial administration, including bookkeeping, accounts payable and receivable, client invoicing, and vendor management. The ideal candidate will have strong organizational skills, attention to detail, and the ability to balance changing priorities to maintain efficient office operations while supporting the construction management team.

Key Responsibilities:

  • Efficiently manage day-to-day office operations, including handling communications (emails, phone calls, mail), maintaining filing systems, stocking office and kitchenette supplies, and overseeing office cleanliness.

  • Assist with financial administration tasks, including preparing and sending client invoices, managing accounts payable and receivable, tracking payments and deposits, completing data entry and bookkeeping, and reconciling accounts.

  • Communicate with vendors and suppliers, facilitating accounts payable and construction site services in coordination with the COO, Estimator, and Project Managers.

  • Identify and resolve administrative, financial and bookkeeping issues as they arise, making timely decisions that support the administrative and construction management teams, and the Company.

  • Utilize office software and tools, such as Google Workspace and Sheets, QuickBooks, and CoConstruct, to manage administrative tasks and support construction projects.

  • Maintain confidentiality of sensitive information and uphold professionalism in interactions with colleagues, clients, sub-trades, vendors, and office visitors.

  • Collaborate effectively as part of the administrative team, contribute to a positive and professional work environment, and provide support to the construction management and leadership team.

  • Assist in organizing Company events, coordinating client and employee appreciation gifts, and facilitating related activities.

Requirements:

  • Strong organizational, multitasking, and time management skills.

  • Proficiency in Microsoft Excel, Google Workspace, QuickBooks, and office productivity software.

  • Experience in accounts payable and receivable, invoicing, and bookkeeping.

  • Excellent communication and interpersonal skills, with a professional demeanor.

  • Ability to maintain confidentiality and work efficiently under pressure.

  • A positive attitude and ability to work as part of a team in a collaborative environment.

  • Previous experience in a construction or related industry is an asset.

Compensation:

  • Hourly wage of $26-$33 per hour, depending on experience.

  • In-office work week of 30-35 hours.
